Job Description:
  • Maintain and update member databases and CRM systems to ensure information remains accurate and current.
  • Coordinate meetings by scheduling sessions, preparing agendas, documenting meeting minutes, and tracking follow-up actions.
  • Organize, manage, and maintain shared documents, templates, and digital filing systems.
  • Assist with membership administration, including renewals, invoicing, and other day-to-day administrative tasks.
  • Create, schedule, and manage LinkedIn content, newsletters, and other member communications.
  • Keep website content up to date by publishing news, event details, and member highlights.
  • Support the creation, coordination, and distribution of quarterly newsletters.
  • Assist in planning and delivering webinars by managing registrations, sending reminders, and coordinating event logistics.
  • Provide administrative support for in-person events, including venue coordination, attendee management, and preparation of event materials.
  • Monitor and report on event performance by tracking registrations, attendance, and participant engagement.
  • Respond promptly and professionally to member inquiries and requests.
  • Maintain accurate records of partners, speakers, and sponsors.
  • Serve as the key liaison between GICA leadership and strategic committees.
  • Coordinate committee meetings, prepare agendas, record minutes, and monitor progress on action items.
  • Track committee milestones, deliverables, and timelines to ensure alignment with organizational goals.
  • Foster effective communication and collaboration among committees, members, and key stakeholders.
  • Support the onboarding of new committee members and contribute to the successful execution of committee initiatives.
  • Prepare regular reports and updates for leadership on committee progress, achievements, and outcomes.

Requirements

  • Bachelor's degree in Business Administration, Communications, Marketing, or a related discipline is preferred.
  • 3–4 years of experience in administration, communications, project coordination, membership management, or a similar role within an industry association, technology company, or B2B environment.
  • Strong written and verbal communication skills with excellent command of English.
  • Experience using CRM platforms and maintaining accurate member or customer databases.
  • Practical experience managing LinkedIn, email marketing platforms, and website content management systems.
  • Excellent organizational, administrative, and project coordination abilities.
  • Proven ability to prioritize multiple tasks and work independently in a fast-paced remote environment.
  • Comfortable collaborating with global teams and coordinating work across multiple time zones.
  • Strong attention to detail, with a proactive approach and a high sense of ownership and accountability.
  • Proficiency in Microsoft 365, Google Workspace, and other modern collaboration tools.
